Choosing a courier is not simply a comparison of prices. The best service for an urgent document may be unsuitable for large equipment, while the most economical method for a flexible delivery can be the wrong choice when a deadline is fixed. Before booking, make sure the provider understands the consignment and the result you need.
1. What experience does the courier have?
Ask whether the operator routinely handles your type of delivery. A time-critical legal document, a sensitive instrument and a bulky office item present different loading, security and handover requirements. Look for relevant experience, clear booking procedures and a contact you can reach if the collection or delivery changes.
2. What delivery options are actually available?
Clarify what “same day”, “next day” and “economy” mean in the quotation. Is the vehicle dedicated to your consignment, or could the goods be carried with other loads? Is the journey direct? What is the earliest realistic collection time, and has a specific delivery deadline been accepted? Do not assume every quoted service covers every size of item or every location at the same price.
For the practical differences, see our comparison of dedicated and economy courier services.
3. How is the price calculated?
Give each courier identical details when comparing quotes: postcodes, collection time, required arrival time, packed dimensions, total weight, item count and any special equipment. Ask whether the quotation includes waiting time, parking, ferry charges, out-of-hours work, additional labour and any failed collection arrangements. A cheap initial rate is not necessarily the lowest overall cost.
4. Who will handle the goods and how will you know they arrived?
Find out who is collecting, whether the driver has appropriate instructions, and what the handover record will show. For sensitive or valuable consignments, discuss the need for a dedicated vehicle, evidence of collection, in-transit updates and a signed proof of delivery. If you need the recipient’s name or delivery photograph, state this at the outset rather than assuming it will be provided.
5. What happens when something goes wrong?
Road closures, incorrect addresses and goods that are not ready for collection can affect a delivery. Ask who will contact you, how quickly you will receive an updated estimated arrival time, and what options are available if the original plan is no longer achievable. An effective courier should explain constraints early rather than promise a result that cannot be supported.
6. Does the courier understand access and handling?
Check parking restrictions, loading-bay bookings, reception hours, steps, lifts and whether lifting assistance is required. State whether you expect kerbside delivery or movement into a room. Identify oversized, heavy, fragile or regulated goods before accepting the quotation, so the correct vehicle and crew can be arranged.
7. Can the service support repeat work?
For recurring business deliveries, agree booking references, reporting, billing arrangements and who receives delivery updates. A service that works for a one-off collection should also be able to demonstrate how it will manage exceptions and consistent instructions over time.
