A replacement laptop arriving without its charger can leave an employee unable to work despite a successful delivery. When arranging office IT transport to Portsmouth, check the complete working kit and the recipient’s availability before booking. The transport requirement is not just a box: it is the right equipment reaching the right person.
Record the device or asset reference and list the accessories the recipient needs: power supply, cables, dock or other agreed items. Ask the IT team to confirm compatibility. The courier should not be expected to inspect hardware specifications or decide whether a power supply belongs to a particular device.
Package items so they cannot move against one another and follow the equipment supplier’s packing guidance. Give BHA the external package dimensions, weight and contents. Declare batteries or other components that may affect transport acceptance, and discuss valuable equipment and applicable cover before booking.
For a shared office, identify the organisation, floor or department and whether reception may accept the shipment. For a remote worker, confirm a staffed handover window and direct contact number. Do not assume that sending to an employee’s address gives permission to leave equipment with a neighbour or in a communal area.
Keep confidential information off outer labels unless it is necessary for identification. A neutral job or asset reference can help reconcile the movement without advertising the contents. Technical setup instructions should go through the employer’s agreed process rather than being left to the courier.
If the failed device is coming back, confirm whether the driver should wait for it and what packaging will be available. Give a return reference and list any accessories to be included. A replacement box may not be suitable for the old equipment if the models or accessories differ.
Arrange any data protection or device-reset steps with the employer’s IT team. The courier transports the agreed package; it does not perform secure erasure or verify that a device contains no data. Agree the required recipient and proof of handover for both legs.
See Portsmouth coverage within BHA’s South East service and technology and electronics delivery information. Send the kit details, both postcodes and deadline to request a quotation. Availability and any collection-and-return arrangement must be confirmed. This is general business guidance, not a claim of a particular Portsmouth IT contract. Reviewed 16 October 2026.
