Portsmouth Hotel Refit Deliveries: Keep Transport and Room Installation Separate

A hotel refit can involve several suppliers delivering furniture and equipment while parts of the building remain in use. For a Portsmouth property, the transport plan should identify where each load can be received and how it will be moved onwards. A delivery to the hotel is not automatically a delivery to every room.

Break the project into identifiable loads

Create a list by delivery phase, room group or installation area. Record the number of packages, packed dimensions and weights, and label them so the receiving team can match goods to the plan. Keep urgent replacement items separate from stock that can wait for a later phase.

Confirm the supplier’s release date and whether the order will be complete. If only part is available, decide which items should move and update the booking. The courier should not have to choose between similar cartons or decide which missing component will hold up the installation.

Reserve a workable receiving area

Ask the property manager where a vehicle can stop, who will supervise unloading and where the goods can be held without obstructing guests or staff. Give BHA any access limits, loading times and distance from the vehicle to the agreed handover point. If the receiving area will be occupied by contractors, resolve the conflict before delivery.

For lifts and stairways, provide relevant dimensions and restrictions. Bulky furniture may need dismantling or extra handling even when its weight is modest. Confirm any room placement, unpacking or additional crew as part of the agreed service; do not treat them as automatic extensions of transport.

Separate delivery from installation and removal

Identify who assembles furniture, connects appliances and removes packaging. If old items are being returned or discarded, explain that separately and ask whether BHA can accept the proposed movement. A delivery vehicle should not arrive expecting boxed goods and instead be asked to handle an unplanned clearance load.

Agree how shortages and visible damage are recorded at receipt. Keep the supplier reference and package count with the delivery record so the project manager can reconcile the load before installers need it. A counted handover is more useful than a receipt that simply says “hotel delivery”.

Request a phased delivery quotation

Use South East courier coverage for Portsmouth and hospitality delivery information. Send BHA the load schedule and access brief. BHA will assess availability and the required handling. This is general project-delivery guidance for Portsmouth customers, not a claim about a specific hotel contract. Reviewed 16 October 2026.
