An exhibition delivery is complete when the agreed load reaches the agreed handover point, but that may still leave the exhibitor with work to do. Leeds City Council lists venues for hire; each venue and event can have different receiving arrangements. Obtain instructions for the actual show before booking transport.
List display structures, graphics, product samples, literature, tools and electrical accessories separately. Identify which cases contain essential fixings so they do not get left behind as apparently empty packaging. Measure the largest packed item and provide the total package count and weight.
Check that panels, screens and fragile samples have suitable protection. Tell BHA if cases cannot be stacked or must remain upright. Agree who will load and unload; a stand contractor’s presence does not automatically mean they are available to help the courier.
Provide the event name, hall or room, stand reference, delivery entrance and onsite contact. State the unloading slot and the time by which the exhibitor needs the materials. Booking transport does not itself reserve a venue delivery slot or provide permission to enter a controlled area.
Plan the return load independently. Literature may have been distributed, waste may need separate disposal, and hired equipment may return to different suppliers. Ask the team to repack and recount the cases after breakdown. Confirm when the goods will be ready and who will remain onsite until collection; the public closing time is not necessarily a workable pickup time.
Read about BHA courier coverage for Leeds, then send a delivery enquiry with both postcodes, the ready time, required arrival time, packed dimensions and weight. Include the handling and access details described above. Ask BHA to confirm acceptance, availability, price and the agreed handover arrangements before booking.
