Axminster Market and Event Equipment: Plan the Outbound and Return Load

Market and event equipment often travels out neatly packed and returns in a different form. Stock may be sold, packaging discarded and display stands left partly assembled. For an Axminster trader arranging transport, planning both journeys at the start reduces the risk of booking a return vehicle for a load that no longer matches the original description.

Get the organiser’s delivery instructions

Axminster has a market-trading tradition, and East Devon District Council describes charter-market arrangements in parts of the town centre. That background does not establish access for a particular event. Ask the organiser for the actual setup date, vehicle entrance, unloading period and handover point, and check the instructions for the event you are attending.

Provide the trader or exhibitor name, pitch or stand reference and an on-site telephone number. Customer opening hours are not necessarily vehicle access hours. Agree who will meet the driver and who is responsible for taking the goods from the vehicle to the pitch.

List equipment separately from stock

Make a load list showing display stands, tables, signage, storage boxes and packaged stock. Give dimensions and weights, including the longest component. Keep small fittings and assembly parts in labelled containers so they do not become separated from the equipment they belong to.

Explain which items are fragile or must stay upright. Declare food, liquids, batteries or other contents needing an acceptance check rather than describing everything as event supplies. Ordinary transport does not automatically provide refrigeration, secure overnight storage or setup assistance.

Book collection for when the goods will be packed

The advertised event finish is usually only a starting point for planning breakdown. Ask how long dismantling and packing will take, when vehicles may return and whether someone must remain with the load. Give BHA a realistic ready time and latest permitted collection time.

Before the return journey, confirm the updated package count and any size changes. If display frames will travel assembled rather than dismantled, supply the new measurements. Tell BHA about additional goods, waste or another trader’s items before loading; they are not automatically part of the agreed consignment.

Keep a simple handover record

Use the same item references on the outbound list and return list. Note visible damage or missing cases when the goods change hands and pass the information to the booking team. This makes it easier to distinguish a packing omission from an issue during transport.

See BHA’s South West courier coverage for Axminster and retail and artisan delivery information. Request a quotation for the specified load and both handover windows; BHA will confirm availability and the agreed service.
