A collection booked with one factory shift may arrive after another has taken over. If the release instructions have not been passed on, a ready load can remain on site while the driver waits. For a Newport manufacturing collection, make the handover between staff part of the dispatch plan.
Newport City Council lists manufacturing and industrial sites in the area. Each occupier has its own goods-out process, so use the individual business address, entrance and department rather than an estate name alone. Provide a direct contact who will be on duty during the collection window.
If shifts change near the planned arrival, give a second contact and ensure both teams have the booking reference. Confirm who can authorise collection if the original contact is unavailable. A gatehouse may control access without having authority to release the load.
Provide the order reference, package count and packed dimensions and weight. Ask the factory to separate the consignment from similar goods and label it clearly. If inspection or quality approval is required before release, confirm it is complete before treating the load as ready.
For partial orders, identify precisely which items will travel. Do not leave the driver to choose between components or decide whether a substitute is acceptable. Update the written instruction and package count if the factory changes the load.
Tell BHA whether the site provides loading equipment and staff and whether rear or side access is required. Include the destination’s unloading facilities. A forklift at collection does not establish that the same vehicle can be unloaded at a smaller receiving premises.
Give the actual ready time and the destination’s receiving cut-off. If release is delayed by production or a shift change, ask BHA to reassess the schedule. The delivery deadline cannot be assumed unchanged after a late departure.
Use BHA’s Newport coverage within Wales and light haulage information. Send the load, contacts and receiving deadline for a quotation.
