Cardiff Event Production Deliveries: Find the Technical Receiving Point
For event equipment in Cardiff, the public entrance is often the wrong place to arrange a courier handover. Before booking, ask the production or venue team where the goods should arrive and who can accept them. An event name and a visitor postcode do not establish a usable delivery arrangement.
Name the production and the receiving team
Venues such as Wales Millennium Centre host different activities and organisations. Identify the specific production, department or event rather than addressing a consignment only to the building. Ask for the appropriate entrance, delivery reference and a direct telephone number for the person coordinating the handover.
Confirm a delivery window that fits the setup schedule. The venue’s public opening hours may not be the receiving hours for technical equipment. Any loading appointment or vehicle information requirement should be passed to BHA before dispatch.
Make the equipment list operationally useful
List cases, stands, packaged cables, display sections and other items separately. Include the longest piece, total weight and anything that must remain upright or cannot be stacked. Secure loose parts and label each package with the event and item reference.
State whether the transport handover ends at a loading point or includes an agreed carry into the premises. Installation, rigging, unpacking and technical testing are separate responsibilities. Do not assume that the driver can take equipment into restricted backstage areas or leave it with any available staff member.
Control changes after booking
If the production adds equipment, changes the delivery point or revises the setup window, update BHA before the vehicle is dispatched. A larger load may need a different vehicle, and a changed appointment may affect route feasibility. Keep one booking contact authorised to approve revisions.
For a return movement, confirm when the equipment will be packed and where it will be held for collection. Keep a count of cases and a responsible person available to release them. The end of the event is not automatically the return-ready time.
Arrange the Cardiff movement
See BHA’s Wales coverage, including Cardiff and light haulage information. Send the equipment and access brief for assessment. Availability and handling are confirmed individually.
