A courier booking for business records should make the physical handover clear without exposing unnecessary information about the contents. For a Glasgow office moving archive boxes, agree the package count, who may release them and who may receive them. Transport alone does not provide a complete records-management or data-protection process.
Use a job reference and sequential box numbers that the sending and receiving teams can reconcile. Keep any detailed inventory through the business’s approved information-handling process. Avoid putting sensitive names or descriptions on outer labels when a neutral reference will do.
Use sound boxes appropriate to the weight and secure them properly. Paper is heavy: provide actual weights where possible and do not rely on a small box size as evidence that manual handling will be straightforward. Tell BHA the total quantity, packed dimensions and combined weight.
Explain whether sealed containers, a named-person handover or a particular chain-of-custody record is required. Have BHA confirm what can be provided before booking. Do not infer enhanced security, secure storage or specialist records handling from an ordinary courier quotation.
Identify who will supervise collection and ensure that only the agreed boxes are presented. If several departments share a storeroom, separate the transport load before the driver arrives. The driver should not decide which files belong to the move.
Give the full address, department, permitted entrance and authorised recipient. State whether shared reception is acceptable or whether delivery must wait for a named employee. Confirm the receiving hours and any access-booking process, together with a contact for problems.
Agree the package count and delivery evidence required at handover. A signed receipt for numbered boxes does not establish that every document inside has been checked. The receiving business should carry out its own reconciliation and follow its procedures if a discrepancy is found.
See BHA’s Glasgow coverage within Scotland and courier service information. Send the package and access details with the required timing and handover controls. BHA will assess the requirements and confirm availability. This is general transport-planning guidance and does not certify legal or data-protection compliance. Reviewed 16 October 2026.
