Exhibition return transport is often booked around the time a show closes, even though the goods may not be packed until much later. For a Glasgow event, agree a collection window based on breakdown and site access, then confirm that someone will remain to release the load. The end of public opening is not a collection-ready time.
The Scottish Event Campus publishes event-management and exhibition information, but each organiser supplies the arrangements relevant to its show. If your event is at the SEC, obtain the current exhibitor manual and identify the vehicle entrance, marshalling process and permitted collection window. Do not treat visitor parking instructions as goods-vehicle access.
Give BHA the event, hall or stand reference and a named on-site contact. Confirm who books any required slot and who passes vehicle details to the organiser. A courier booking does not itself create a venue appointment or appoint the venue to receive goods on your behalf.
Arrange retrieval of empty cases and protective packaging early enough for the agreed ready time. Separate hired equipment, goods returning to your business and anything belonging to another exhibitor. Each destination needs a clear instruction; the driver should not sort ownership during loading.
Count the packed cases and provide updated dimensions and weights. If a display will return assembled rather than flat-packed, tell BHA before the vehicle is assigned. Merchandise sold or extra material collected during the show can change the return load substantially.
Confirm who moves the goods from the stand to the agreed loading point. Forklifts, labour, dismantling and internal handling may be separate arrangements. Explain any additional assistance you need and have it agreed before the booking.
Keep a list of what is released and note missing or visibly damaged cases at handover. Give the destination a matching list and receiving window. If packing runs late, contact BHA promptly so the route can be reviewed rather than assuming a waiting vehicle is automatically available.
