Excel London Exhibition Courier Deliveries: Book the Slot Before the Van

For an exhibition delivery, getting to the venue is only part of the job. The goods must reach the correct event and authorised handover point during a permitted period. Excel London publishes a vehicle booking process for access to its loading bays. Check the current event manual and venue instructions before arranging transport.

Start with the exhibitor’s instructions

Obtain the event name, dates, hall and stand number, together with the exhibitor’s on-site contact. Ask the organiser which delivery address and process apply to that event. Do not assume that a general visitor postcode, ticket-holder entrance or public opening time is appropriate for a courier vehicle.

Excel’s official guidance says vehicles needing loading-bay access must be pre-booked. Agree who is responsible for that booking and for sharing the confirmation with the courier. A courier booking with BHA does not itself create a venue slot. If vehicle details are needed to complete the venue process, coordinate that requirement before dispatch.

Define where the transport handover ends

Clarify whether the driver is handing over at a loading area, to an appointed handling team or at another agreed point. Stand delivery, unloading assistance, forklifts and empty-case storage may be separate services. Identify who has arranged them and check that the plan covers the goods being moved.

Provide a complete load list with packed dimensions and weights. Tell BHA about display panels, fragile equipment or cases that must remain upright. Label packages with the event, exhibitor and stand reference, and keep the count consistent across the packing list and booking. A clear label helps identification but does not replace an authorised receiving contact.

Plan the return collection before the show finishes

The end of public opening hours is not necessarily the time goods will be packed and accessible. Ask when breakdown collections are permitted and when the exhibitor expects the load to be ready. Check whether another vehicle booking is required for collection and who will remain on site to release the goods.

Allow for changes in the return load. Products sold, packaging discarded or equipment added can affect space and handling. Send an updated item count and load details before the return vehicle is assigned. Discuss waiting and failed-access arrangements in advance rather than assuming they are included.

Request a venue-ready quotation

Use BHA’s London courier information and light haulage service page. Send the event and load details, collection postcode, confirmed access window and return requirements. Suitability and availability must be confirmed; this guide does not imply that BHA is an appointed Excel logistics supplier.
