How to Prepare Electronics for Courier Delivery in the UK

Sending computers, monitors or other electronic equipment starts with clear information and suitable packaging. Before booking, identify the equipment, its packed dimensions and weight, and any handling requirements.

Prepare the equipment

Follow the manufacturer’s transport instructions. Shut equipment down properly, remove loose accessories where appropriate and label cables so the recipient can identify them. Keep an inventory of the items being sent.

For business IT, follow your organisation’s data-security procedures before releasing equipment. Back up essential data and consider who is authorised to receive it. Do not put passwords or unnecessary sensitive information in the parcel paperwork.

Use packaging designed for the journey

Original packaging can be useful if it is intact and still provides the correct support. Otherwise, use a strong outer package with suitable cushioning so the equipment cannot move against the sides or other items.

Protect screens, corners, connectors and separate accessories. Avoid pressure on displays. Some components need anti-static protection; follow the equipment supplier’s guidance rather than relying on ordinary loose packing materials.

Photograph the equipment’s condition and the packing before sealing. Labels such as “fragile” help communicate handling needs but do not replace protective packaging.

Declare batteries and unusual equipment

Tell the courier if equipment contains batteries or if spare batteries are included. Identify the battery type and condition before booking. Damaged, swollen, leaking or recalled batteries require specialist advice; do not send them through an ordinary booking without explicit acceptance.

Acceptance and preparation requirements depend on the item and transport arrangements. Obtain instructions for your particular consignment instead of assuming that all electronic equipment can travel in the same way.

Choose the vehicle and handover arrangement

A dedicated vehicle may be useful when the consignment is time-sensitive or you want to limit transfers. Confirm whether the goods must remain upright and whether loading equipment or additional people are needed.

For servers, large screens or multiple workstations, send the packed dimensions and total weight. Check doorways, loading bays and the delivery floor. Carrying equipment upstairs or installing it is a separate requirement that must be agreed.

Confirm value, records and receipt

Disclose the goods and their value, and ask about applicable cover, exclusions and the claims process before accepting the quote. Keep a serial-number inventory where appropriate and agree the handover evidence required.

Provide a named recipient, contact number and receiving hours. The recipient should check the package count and record visible packaging damage at handover, following the agreed reporting process.

Book with the right information
