What to Expect When Booking a Business Courier
Booking a courier is easier when the load, timings and access arrangements are clear from the start. This guide is for businesses arranging a one-off delivery or regular transport, from an urgent document to pallets, furniture or equipment.
Use the seven steps below to prepare your enquiry and understand what to confirm before collection.
For a quote, have ready: both postcodes, item quantities, dimensions and weight, required timings, contact numbers, and loading or handling requirements.
1. Tell us what needs moving
Provide the number of items, their dimensions and weight, and a brief description. For pallets, include the loaded height and weight of each pallet. For furniture or equipment, tell us about fragile parts and anything that needs particular care.
A photograph can help clarify the load, but it does not replace measurements. Accurate details help us select a suitable vehicle and avoid changes at collection.
2. Give both addresses and your deadline
Send the collection and delivery postcodes, when the goods will be ready, and the latest acceptable arrival time. Tell us if either address has restricted opening hours or a booked delivery slot.
Say whether you need same-day delivery, next-day transport, or a more flexible economy service. We can discuss the available options before you confirm the booking.
3. Explain access and loading arrangements
Tell us about stairs, narrow entrances, parking restrictions, loading bays and vehicle-height limits at both ends. Confirm whether a forklift or loading team is available, and whether a tail lift or additional people may be needed.
Moving goods beyond the vehicle, carrying items upstairs or positioning furniture should be discussed when requesting the quote. Do not assume those tasks are included.
4. Check the quote before confirming
Your quote sets out the collection and delivery locations, required vehicle, estimated collection timing and price. Check which delivery option the price covers and whether VAT or additional charges apply. The validity period is stated in your quotation. Ask us to reconfirm price and vehicle availability if the booking date or requirements change.
To confirm, reply to the quote email with the full collection and delivery addresses, contact details and any agreed instructions. Tell us about changes to the load or timings before collection so we can review the arrangements.
Payment is required before collection unless credit terms have been agreed. Bank transfer is our preferred method; account details are provided when confirming the booking. Ask our team about card payment arrangements. Regular customers may be eligible for 30-day credit terms.
We arrange dispatch once the booking and payment arrangements are confirmed. Where approved credit terms apply, those terms govern payment. Your quote confirms the estimated collection time and when that estimate starts; sending an enquiry alone does not confirm a booking.
5. Prepare for collection
Have the goods ready at the agreed time, with packaging suitable for transport. Give us a collection contact and telephone number, and make sure that person knows what is being collected.
For fragile items, point out any existing damage and specific handling instructions. Let us know promptly if the goods will not be ready or the collection address changes.
6. Keep the delivery contact available
Provide the recipient’s name, telephone number and any site instructions. The recipient should know when the delivery is expected and have access or unloading arrangements ready.
Ask our team for an update when needed. Road conditions and site delays can affect arrival times; if your delivery depends on a strict deadline, discuss that requirement before booking.
7. Receive proof of delivery
Proof of delivery records that the goods have reached the recipient. Tell us about any purchase-order number, job reference or particular delivery-record requirement when booking.
If you have a question about the delivery or the condition of the goods, contact our team promptly with the job reference and relevant details so it can be investigated.
