Planning Office Equipment Deliveries for New Starters

A new starter needs the right equipment at the right location. Preparing the delivery clearly helps the office, courier and recipient understand what is moving and who will receive it.

Confirm the Equipment Before Booking

List desks, chairs, computers and accessories with counts, packed dimensions and weights. Identify fragile or unboxed goods and items that must remain upright. Ask suppliers when equipment will actually be ready.

Keep one current item list so late additions can be assessed before a vehicle is allocated.

Agree the Actual Delivery Point

Provide the entrance, receiving contact and opening hours. Explain stairs, lift capacity, loading bays and parking restrictions. For home deliveries, confirm someone will be available.

Goods-in delivery differs from carrying equipment to a room. Additional crew, positioning and assembly must be agreed beforehand.

Allow Time for Receiving and Setup

Give the required arrival date and any fixed appointment. Arrange a receiving person to check counts. An estimated arrival should not be treated as a guaranteed installation schedule.

Discuss dedicated transport for an urgent requirement or an economy arrangement where dates are flexible.

Protect Goods and Keep Records

Use suitable packaging, disclose goods and value, and check applicable cover, limits and exclusions. Keep the inventory, reference and proof of delivery together. Record shortages or visible damage at handover.
